AP/ AR Accountant
Job Description
Location: Irvine, CA
Schedule: Hybrid (On-site three days per week, Monday and Friday remote)
- First 90 days: Full-time on-site (Monday–Friday) for the probationary period
A well-established company in the fuel distribution and marketing industry, operating exclusively in California. With significant growth in recent years, the company manages high transaction volumes across multiple locations.
Position Overview:
This role is responsible for assisting with the daily operations of Accounts Payable and Accounts Receivable while ensuring accuracy and efficiency in processing transactions. The ideal candidate will handle high-volume AP transactions, support tax and general ledger functions, and collaborate with various departments.
Key Responsibilities:
Accounts Receivable:
- Obtain and verify Bills of Lading for product receipt and delivery.
- Process and reconcile inventory transactions.
- Generate and review invoices for accuracy.
- Maintain electronic records using a document imaging system.
- Support Accounts Payable by vouching freight invoices as needed.
- Prepare exemption and tax certificates, including Federal Notification Certificates and California Use Tax filings.
- Assist with motor fuel tax filings and other compliance-related tasks.
Accounts Payable:
- Process 200-500 AP transactions daily, ensuring speed and accuracy.
- Verify and prepare vendor invoices for payment via check or wire transfer.
- Investigate and resolve discrepancies in AP transactions.
- Maintain vendor relationships and address inquiries.
- Process employee expense reports for reimbursement.
- Maintain organized and accurate financial records through imaging and indexing.
- Bachelor’s degree in Accounting required.
- 2-4 years of experience in Accounts Payable and Receivable.
- Industry experience in fuel, energy, transportation, or distribution is highly preferred.
- Advanced Excel skills (Pivot Tables, VLOOKUP/HLOOKUP, formulas, data analysis).
- Ability to work in a fast-paced, high-volume environment with accuracy.
- Strong critical thinking skills and ability to analyze financial data.
- Highly organized, detail-oriented, and able to meet strict deadlines.
- Excellent communication skills, both verbal and written.
- Must be professional and able to work effectively with experienced colleagues.
- Open to junior-level candidates who demonstrate maturity and professionalism.
- Must be adaptable and work well with a team of experienced professionals.
- Works independently but interacts with the Marketing and Trading teams.
- Offers exposure to general ledger accounting and tax over time.
- No formal growth potential but provides extensive industry experience.
- Base salary up to $80K.
