Job Description


SUMMARY

Alliance Resource Group is partnered with a VC backed company in the defense technology sector to hire an Accounts Payable & Travel Expense Manager. This role owns and scales the full AP and T&E functions in a fast-growing, government-contracting environment, building automated, compliant processes that support rising transaction volume across multiple contracts.

KEY RESPONSIBILITIES
  • Own full-cycle accounts payable operations, including invoice intake, three-way matching, coding, approval routing, and payment execution across ACH, wire, and check, along with vendor reconciliations and aging management.
  • Administer the travel and expense program, covering corporate card management, expense policy enforcement, expense report review and approval, and employee reimbursements.
  • Design and implement scalable AP/T&E workflows, applying automation (OCR, workflow tools, AI-assisted matching) and system integrations to support growth and audit readiness.
  • Manage vendor relationships, negotiate payment terms and early-pay discounts, resolve disputes, and oversee 1099 reporting.
  • Record AP journal entries and complete reconciliations for month-end close; deliver AP/T&E metrics to leadership, including aging reports, cash flow forecasting, and spend analytics.
  • Build, train, and mentor an AP/T&E team as the organization scales, including hiring and performance management.
  • Ensure AP and T&E processes align with government cost accounting standards (CAS), including proper cost accumulation, segregation of direct and indirect costs, and treatment of unallowable costs, while maintaining DCAA audit readiness under FAR/CAS travel-cost rules.

QUALIFICATIONS
  • 6+ years in accounts payable and T&E, with at least 3 to 4 years in a managerial role
  • Bachelor's degree in Accounting, Finance, or a related field
  • Hands-on experience implementing or optimizing AP/T&E systems and automation
  • Demonstrated success building or scaling an AP/T&E team
  • Strong project management and change management skills
  • Strong analytical, organizational, and communication skills, with the ability to operate in a fast-paced, ambiguous environment while maintaining compliance rigor

SOFTWARE EXPERIENCE
  • NetSuite or comparable ERP
  • Ramp, Concur, or similar T&E and expense platforms
  • AP automation and workflow tools (OCR, AI-assisted matching)
