Job Description

  Senior Executive Assistant – Family Office
Location: Irvine, CA | Non-Exempt (Hourly)
Overview
The Senior Executive Assistant provides high-level personal, health, life, and business support to three executives across two generations of Principals in a private family office. This trusted role ensures seamless coordination of complex schedules, travel, healthcare logistics, and events, enabling the Principals to remain focused on their philanthropic, cultural, and community leadership commitments.

The position requires exceptional judgment, absolute confidentiality, adaptability, and the ability to manage multiple priorities in a fast-paced, high-expectation environment.

Key Responsibilities

  • Manage complex global calendars and private travel across multiple time zones

  • Screen, triage, and prioritize communications across multiple email accounts

  • Coordinate with internal teams and external advisors while maintaining appropriate visibility

  • Manage complex healthcare scheduling and related travel logistics

  • Support residence logistics, including guest scheduling and coordination with the Executive Chef

  • Support event coordination, speaking engagements, and presentation preparation (PowerPoint for Mac)

  • Serve as a central administrative resource and informal mentor to administrative staff

  • Coordinate confidential meetings and prepare sensitive documentation with discretion

Required Qualifications

  • 5–10 years supporting C-suite executives or Principals in a UHNW family office or similarly complex environment

  • Strong written and verbal communication skills

  • Ability to operate in ambiguity and adapt quickly to changing priorities

  • High emotional intelligence, sound judgment, and multitasking capability

Preferred

  • Family office experience

  • Undergraduate degree

  • Experience with Apple products, Microsoft Office 365, Google Workspace, Expensify, Intacct, Adobe Acrobat Pro, Zoom, Box, and Monday Event Management

Work Environment

  • In-office role in Irvine, Monday–Friday

  • Occasional evenings, weekends, and travel as needed

  • Collaborative, lean team with high expectations for professionalism and discretion
