Job Description

Executive Personal Assistant to Prominent Business Leaders & Family Office About the Opportunity
Alliance Resource Group has been exclusively retained to conduct a confidential search for an exceptional Executive Personal Assistant to support two highly accomplished business leaders with diverse interests spanning multiple companies, private investments, real estate, philanthropy, and family office operations.

This is a rare opportunity to join the inner circle of a highly successful entrepreneurial organization where trust, discretion, and excellence are paramount. The role goes far beyond traditional executive support—you will become a valued partner responsible for helping manage a sophisticated and fast-moving business and personal ecosystem.

No two days are alike. One day you may be coordinating international travel, the next managing a complex investment-related project, planning a high-profile event, working with outside legal counsel, or helping oversee family office initiatives. If you enjoy solving problems, anticipating needs before they arise, and operating at the highest level of executive support, this position offers an exceptional long-term career opportunity.
Position Summary
The Executive Personal Assistant will serve as a trusted advisor and strategic partner to two senior executives, helping manage a wide range of business and personal priorities with professionalism, confidentiality, and sound judgment.

The successful candidate will be highly organized, proactive, resourceful, and comfortable balancing multiple priorities while maintaining exceptional attention to detail. This individual will have the confidence to work independently, the maturity to handle highly confidential matters, and the flexibility to adapt quickly in a dynamic environment.
Key Responsibilities
  • Manage complex calendars, scheduling, and meeting coordination
  • Coordinate domestic and international travel and detailed itineraries
  • Organize executive meetings, events, and special projects
  • Assist with financial administration, wire transfers, and related documentation
  • Coordinate with attorneys, accountants, insurance professionals, financial advisors, and other trusted consultants
  • Support legal entity administration, audits, tax-related activities, and corporate documentation
  • Maintain contracts, confidential files, and important business records
  • Research and engage outside professional service providers as needed
  • Coordinate insurance renewals, compliance filings, and administrative deadlines
  • Partner with vendors, household staff, and service providers
  • Manage multiple business and personal projects simultaneously
  • Anticipate challenges, identify solutions, and execute with minimal supervision
  • Handle highly confidential information with the utmost discretion and professionalism
Qualifications
  • Seven or more years supporting senior executives, entrepreneurs, family offices, or ultra-high-net-worth individuals
  • Demonstrated ability to manage multiple complex priorities in a fast-paced environment
  • Exceptional organizational and project management skills
  • Outstanding written and verbal communication abilities
  • Strong financial, administrative, and business acumen
  • Proven ability to work independently while exercising excellent judgment
  • Authorized to work in the United States without sponsorship
Preferred Experience
  • Family office or private office experience
  • Mandarin Chinese language skills
  • Legal or paralegal background
  • Experience supporting multiple executives
  • Exposure to private investments, real estate, or privately held businesses
What Will Make You Successful
The ideal candidate is someone who naturally takes ownership, enjoys solving problems, and finds satisfaction in making busy executives more effective. You are resourceful, highly organized, adaptable, and able to anticipate needs before they become priorities.

You thrive in environments where trust is earned, confidentiality is essential, and excellence is expected. Most importantly, you are looking for a long-term opportunity where you can become an indispensable member of a small, high-performing team.
Compensation & Benefits
An outstanding compensation package will be offered for the right individual and includes:
  • Competitive base salary
  • Annual discretionary performance bonus
  • Comprehensive medical, dental, and vision coverage
  • 401(k) retirement plan
  • Pension program
  • Additional company-sponsored benefits
Schedule & Location

Why This Opportunity?
Positions like this rarely become available.

You will work directly with respected business leaders while gaining exposure to private companies, sophisticated investments, real estate, strategic initiatives, philanthropy, and family office operations. The breadth of responsibility, level of trust, and diversity of projects provide an unmatched opportunity for someone who wants to build a long-term career supporting influential executives.

If you are seeking a role where you can make a meaningful impact, continuously learn, and become an indispensable partner to accomplished leaders, we would welcome the opportunity to speak with you confidentially.
