Job Description

Essential Duties and Responsibilities:
  • Accounts Payable and Cash Disbursements
  • Reviews and accurately matches vendor invoices with supporting documents including, but not limited to purchase orders and receiving reports
  • Demonstrates appropriate judgment to resolve and report any discrepancies or missing data
  • Enters/creates a voucher package in the Company’s accounting system; determining appropriate account numbers, job codes, and sales/use tax assessments
  • Monitors status of all outstanding or unpaid vendor invoices; prepares, tracks, and posts payments (including weekly check run, wire/ACH payments) and accurately reconciles to general ledger in a timely manner; ensures prompt payment discounts are taken
  • Consistently ensures that prompt payment discounts are taken
  • Review and process expense reimbursements, including matching receipts
 
  • Billing
  • Resolves discrepancies of customer payments, in accordance with directives of the Controller
  • Prepares customer invoices including, deposit and final shipment invoices
  • Coordinates with Account Managers, Shipping, and Production to ensure that all customer billing is accurate and timely
  • Prepares accurate and timely reports of open and outstanding customer bills
  • Clearly documents any deviations from terms or expectations of open and outstanding customer bills
  • General Accounting
  • Reconcile all cash related balance sheet accounts and bank statements to the ledger, ensuring necessary journal entries were made and posted during month end closing
  • Assists with preparation and maintenance of supporting schedules for auditors, vendors, banks, and others as requested
  • Meets processing, reporting, and project deadlines
  • Other duties as assigned by management
  • Record Retention
  • Creates and maintains documentation of all financial transactions; coordinates with other internal departments to assist in management of business records; stores, retrieves, and destroys records in accordance with record retention policy

    Qualifications
    An outstanding Accounting Assistant should have excellent communication, organizational, and analytical skills.
    The following knowledge, skills, and abilities are required for this position:

    Education and Experience
    • Bachelor's Degree 
    • At least two years’ experience in accounting, preferably in a manufacturing environment
    • Excellent computer skills with a common knowledge of excel spreadsheets and accounting software programs
    • Good mathematical and analytical skills
    • Proficient problem-solving and time management skills
    • Strong written and verbal communication skills
    • Highly organized and detail-oriented
    • Effective teamwork skills
    • Self-motivated and self-directed

    Language Skills
    • Fluent in written and verbal English
    • Able to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
    • Able to write routine reports and correspondence
    • Able to create and update financial procedures
    • Able to effectively present information in one-on-one and small group situations

    Mathematical Skills
    • Able to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages
    • Able to apply concepts of basic algebra and geometry

    Reasoning Ability
    • Able to apply common sense understanding to carry out instructions furnished in written, verbal, or diagram form
    • Able to deal with problems involving several concrete variables in standardized situations
